How Powerhouse Ministries Birmingham looks after your personal information.

Who we are

Powerhouse Ministries Birmingham is responsible for the personal information described in this policy. Our church management system ("Church Connect") is used by our staff and volunteers to care for our church community.

Information we collect

  • Contact and household details you give us, such as name, email address, phone number and address.
  • Records of your involvement with the church, such as groups, ministries, serving, attendance and events.
  • Communication preferences and consents you record with us.
  • Prayer requests, contact forms, event bookings and giving records you submit.
  • Account information if you sign in to the member area.

How we use it

  • To keep in touch with you and to send you communications you have consented to receive.
  • To organise services, events, groups and volunteer teams.
  • To provide pastoral care and to respond to requests you make.
  • To meet our legal and regulatory duties, including charity accounting and safeguarding.

We record consent separately for each purpose, including email, SMS, directory listing, photography, marketing and pastoral contact. Where we rely on consent, you may withdraw it at any time.

Facebook and Instagram

Church leaders may connect the church's own Facebook Page and the Instagram business account linked to it, so that church content such as events, services and notices can be published to those accounts from Church Connect.

When that connection is in place, we store:

  • The Facebook Page and Instagram account identifiers, names, usernames and profile pictures.
  • An access token that allows publishing to those accounts. Tokens are held server-side and are never shown in the browser.
  • Records of posts published from Church Connect, including the post identifier, link and any figures Meta reports back about that post.

We do not collect personal profiles, friend lists, follower lists or private messages of people who follow or interact with those accounts. Content published to Facebook or Instagram is then governed by Meta's own terms and privacy policy.

Sharing your information

We do not sell personal information. We share it only with service providers that operate parts of this platform on our behalf — for example email and text message delivery, payment processing, and hosting — and where we are required to do so by law or for safeguarding reasons.

How long we keep it

We keep information only as long as we need it. Some records must be retained to meet legal duties — for example giving and Gift Aid records, charity accounts, safeguarding records and system audit logs. Where a record is no longer needed and no legal duty applies, it is archived, anonymised or deleted.

Your rights

You may ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, ask us to restrict or object to how we use it, or ask for it in a portable format. We will respond within one month. Some material is not released automatically, including confidential pastoral notes, safeguarding records and information about other people.

Security

Access to church records is restricted by role, so staff and volunteers see only what their responsibilities require. Actions on records are logged. Private journals, personal Bible notes and direct messages are visible only to the person they belong to.

Changes to this policy

We may update this policy from time to time. The version published on this page is the current one. If you are unhappy with how we have handled your information you may complain to us first, and you may also complain to the UK Information Commissioner's Office.
